Who's responsible for your information

Coventure is the enterprise arm of the University of Lincoln, not a separate company. That means the University is the data controller for everything collected through this site, and it's registered with the Information Commissioner's Office under number Z7846984.

This page covers what this website does. The University holds a wider set of privacy notices covering students, staff, research and everything else it does, and those are worth reading if your relationship with the University goes beyond this site. You'll find them in the University's privacy notices.

What we collect, and when

We only collect personal information when you choose to give it to us. There's no sign-up wall and no tracking. In practice that means our enquiry forms, including the contact form and the tour booking form:

• Your name, so we know who we're replying to.
• Your email address, so we can reply at all.
• Your phone number, which is optional, and only used if you'd rather we called.
• What your enquiry is about, and your message.

We also briefly note the IP address a form was submitted from. That is used for one thing only: stopping the same address flooding us with automated spam. It isn't stored with your enquiry and isn't used to identify you.

We don't track you unless you say we can. Analytics cookies are off until you agree to them, and if you refuse, those tools are never loaded rather than merely switched off. You can change your answer at any time from the link in the footer. The detail is on our cookie policy.

Why we're allowed to hold it

Under UK data protection law we have to name a lawful basis. When you send us an enquiry, that basis is legitimate interests: you've asked us a question about workspace or business support, and answering it is the reason you got in touch. We think that's unsurprising and low risk, which is the test the law applies.

If we ever want to send you something you didn't ask for, like a newsletter, we'll ask for your consent separately, and you'll be able to withdraw it whenever you like.

Who sees it

The Coventure team, so we can answer you. We don't sell your information, and we don't pass it to anyone for marketing.

A small number of suppliers process data on our behalf, under contract and only on our instructions: our hosting provider, our email delivery provider, and, where relevant, other parts of the University who are better placed to help with your enquiry.

How long we keep it

Enquiries are kept for as long as we need them to deal with your question and any follow-up, and then no longer than two years, so we can pick up the thread if you come back to us. If you'd like yours deleted sooner, just ask.

Your rights

You can ask us to show you what we hold about you, correct it if it's wrong, delete it, or stop using it. You can also object to us relying on legitimate interests. These rights are free to use and we have a month to respond.

If you're not happy with how we've handled it, you can complain to the Information Commissioner's Office, the UK's independent regulator. We'd rather you came to us first so we can put it right.

Links to other sites

Where we link out, to a tenant's website or an event booking page for instance, those sites have their own privacy policies and we aren't responsible for them.

Changes to this policy

If we change how we handle your information, we'll update this page and change the review date at the bottom. If a change is significant, we'll say so clearly rather than quietly editing the text.
